Check the hotel's bill before you pay it
Upload the hotel's group folio and Blocks checks the room charges against your contract and your bookings, then sorts what it can prove from what to ask the hotel about.
Blocks reads the hotel's group folio and checks each sleeping-room charge against your contract and your bookings. It separates the errors it can prove from the charges to confirm with the hotel, and it never adds the two together. It sends nothing to the hotel; you copy the summary into your own email.
“The final bill is forty pages and I have no way to check it against the contract.”
Blocks reads the folio line by line and checks the room charges against your contract rate, the fees it allows, and the bookings you hold, so you start from findings instead of a stack of pages.
“I'm fairly sure the resort fee was supposed to be waived.”
If your contract waives the resort fee and the folio charges it, Blocks flags that as a billing error and shows the page it came from.
“I can't tell which of these charges are actually wrong and which are just odd.”
Every finding lands in one of three groups: Billing error, Ask the hotel, or Can't check. The two dollar totals are kept apart, so a maybe is never counted as a mistake.
“I don't trust a tool that claims it found money.”
Blocks says Can't check when it is missing something, says so on screen when it could not be sure it saw every row, and calls its work decision support, not a verdict.
What does Blocks check on the hotel's bill?
Blocks audits the sleeping-room charges: room rate, tax, resort and other fees, attrition, no-show and cancellation charges, and credits. It compares them with the contract terms on the room block and with the bookings Blocks holds, matching each stay by the hotel's confirmation number. It reports a billing error when a room is billed above the contract rate, when a resort fee is charged that the contract waives, when a fee the contract says is included in the rate is charged again, when the same line appears twice, when, on a folio laid out the way Blocks reads it directly, the folio's own totals do not match its own lines, when a tax rate is out of line with the rest of the bill, and when a charge sits on the group's bill that should not: a guest booked to pay their own way, or incidentals on a room set up as room and tax only. It asks the hotel about charges that need a human call: a fee the contract does not list, a tax rate that differs from the contract (when the contract has no tax rate on file, it tells you it can't check that instead), a night billed outside the booking dates, a charge on a booking Blocks shows as cancelled or a no-show, a confirmation number Blocks does not have, an attrition charge larger than your pickup supports, and a folio balance that is not zero. Stays are matched by the hotel's confirmation number only, never by guest name, and Blocks only has those numbers once the hotel has returned them. If fewer than half the folio's stays match a booking Blocks holds, it skips the checks that need a matched stay (nights outside the booking, cancelled or no-show stays billed, charges that belong to the guest, and stays Blocks doesn't know), says so on screen, and still runs the arithmetic and contract-rate checks. Getting confirmation numbers into Blocks is what switches those checks on.
What's the difference between a billing error and a charge to confirm?
A billing error is something Blocks can prove from the folio, your contract and your booking records, without assuming anything about who actually stayed. A charge to confirm depends on what happened on the ground, or on a contract term Blocks cannot read as a number, so the right move is to ask the hotel. A third group, Can't check, appears when data is missing, and it says what is missing and how to get it. The summary at the top shows billing errors and charges to confirm as two separate dollar figures, never one combined number, because adding a proof to a question would overstate what Blocks knows. An attrition charge is never filed as a billing error: whether it is right depends on pickup, so Blocks compares it with what it has and asks.
Which hotel folios can Blocks read?
Upload the group folio as a PDF saved from the hotel's system. Blocks reads group folios from different hotels and systems, then checks every figure back against the page it came from. Where it cannot be sure it saw every row, it holds back the findings that depend on a complete read: a possible duplicate becomes a question for the hotel instead of a billing error, and the folio's own totals are not used as evidence. The audit says so on screen. A scan has no text to check each figure against, so anything read from one is a question for the hotel, never a billing error; the original PDF works best. If Blocks cannot read a file at all, it tells you why and audits nothing.
What happens to food, meeting-room and AV charges?
They are listed as Not audited, with their total, so nothing on the bill is silently ignored. Blocks checks the sleeping-room side of the folio because that is the side your contract and your bookings can actually be compared against. Food and beverage minimums, meeting space and audio-visual charges need their own review against the banquet event orders and the contract, and the audit does not do that.
Does Blocks dispute charges with the hotel?
No. Nothing is sent to the hotel from the audit. You decide on each finding: Raise with hotel, Accept charge, or Ignore. Copy summary puts the billing errors under Please correct and everything else under Please confirm, ready to paste into your own email, so the conversation with the hotel stays in your hands and in your mailbox. The audit is decision support from the hotel's own folio, your contract and your bookings; it is not legal or accounting advice.
